# Users (staff)

> Invite staff, assign them to stores and roles, and set quick-login PINs.

**Users** are your staff members' TillBiz accounts. Each user signs in with their
own credentials and is assigned a [role](/guides/settings/roles-and-permissions)
that controls what they can do.

## Add a staff member

<Steps>
  <Step title="Open user settings">
    Go to **Settings → Users**.
  </Step>

  <Step title="Add a new user">
    Click **New user** and enter their name, email, and a temporary password.
  </Step>

  <Step title="Assign a role and store">
    Choose their [role](/guides/settings/roles-and-permissions) (e.g. Cashier,
    Manager) and the [store](/guides/settings/branches) they'll work in.
  </Step>

  <Step title="Set a PIN (optional)">
    Give cashiers a **PIN** for fast switching at shared tills. See
    [Signing in](/guides/getting-started/logging-in#quick-pin-sign-in).
  </Step>

  <Step title="Save">
    Share the sign-in details with your staff member.
  </Step>
</Steps>

## Managing access

* **Edit** a user to change their role, store, or details.
* **Deactivate** a user when they leave — this blocks sign-in while keeping their
  history (orders, shifts) intact in reports.

<Warning>
  Removing a user is a soft delete: their past activity stays in your records for
  auditing and reporting. Deactivate accounts promptly when someone leaves to keep
  your business secure.
</Warning>

## Fine-tuning what one person can do

Beyond their role, you can grant or restrict **individual permissions** for a
specific user — and even set them to expire. See
[Roles & permissions](/guides/settings/roles-and-permissions).
